Care Team Coordinator (On-site)

Role Overview

We are hiring a Care Team Coordinator to support our Doula Resource Team in day-to-day operations and doula workforce management. This role focuses on maintaining accurate doula profiles, supporting matching readiness, and ensuring the team runs smoothly through organized workflows and clear documentation. This is a great fit for someone detail-oriented who enjoys people operations, service quality, and hands-on coordination.

What You Will Be Doing

Doula Profile Management

  • Maintain and update doula profiles in our systems, including experience, skills, certifications, language, availability, and service notes.

  • Ensure profile completeness and data accuracy to support fast, high-quality client matching.

  • Organize supporting documents such as certifications, training records, background checks, and health documentation as required.

Daily Operations Support

  • Assist the Doula Manager with daily scheduling, staffing coordination, and internal requests.

  • Track availability changes, assignment updates, and coverage needs, escalating issues quickly when needed.

  • Support doula onboarding tasks, including checklist tracking, document collection, and basic orientation coordination.

Matching and Service Readiness Support

  • Prepare candidate shortlists for client needs based on location, language, schedule, and care requirements.

  • Help coordinate introductions, internal handoffs, and readiness checks prior to assignments.

  • Maintain clear internal notes to ensure continuity across Sales, Operations, and Doula teams.

Quality and Process Improvement

  • Help log service feedback, internal follow-ups, and provider performance notes in a consistent format.

  • Assist in improving SOPs, templates, and internal documentation to reduce errors and speed up operations.

  • Create weekly summaries or dashboards for key operational metrics, as needed.

Requirements

  • Strong organizational skills and high attention to detail.

  • Clear communication skills in English. Chinese (Mandarin) is a plus.

  • Comfortable working with CRM or databases. Airtable, SmartSuite, Notion, Google Sheets experience is a plus.

  • Ability to handle confidential information with discretion and professionalism.

  • Reliable, proactive, and able to manage multiple tasks in a fast-paced environment.

  • Interest in maternal care, postpartum services, people operations, or service quality is a plus.
